Privacy Policy

PMG Charitable Trust is a charitable trust set up to build the financial literacy of young New Zealanders. This policy sets out how PMG Charitable Trust (Trust) collects, uses, secures and discloses personal information.

Personal information is information about an identifiable individual (a natural person).

Website and cookies

Our Trust website is hosted by PMG Property Funds Management Limited (PMG). PMG’s Privacy Policy which can be found here https://www.pmgfunds.co.nz/privacy-policy explains what personal information we collect, why we collect it and how we use it when you visit or browse the website.

Promotions

From time to time, we run promotional campaigns to raise awareness of the PMG Charitable Trust and the services and resources we offer.

If you enter one of our promotions, we may collect personal information such as your name, email address and age range so that we can administer the draw and contact you if you win. Providing this information is voluntary, but if you do not provide it, you will not be able to enter the promotion.

Depending on the prize and the manner it will be delivered to you, we may also ask you to provide your physical address.

We use the entrant names to carry out a random draw and administer the promotion. Where required, we may provide the prize winners’ details to service providers such as courier companies if a prize is being physically delivered.

We will retain personal information collected for a promotion only for as long as necessary to administer the promotion and deliver prizes, after which it will be securely deleted.

We will only use this information for the purposes of administering the promotion unless you have agreed otherwise.


Social Media 

From time to time, we may post content on social media such as Instagram, Facebook and Tiktok. If you interact with us on social media – if you comment, follow, like or mention us on a platform we will have access to your interactions and your profile information which we get from our interaction with you or from the social media platform. We use this information to communicate with you, for example by responding to your comments or to provide information about our services and promotions where you have chosen to engage with us.


Financial Literacy Workshops

From time to time, the Trust organises financial literacy workshops for student and youth groups.

When holding workshops, we collect the following information from participants:

  • Name of the organisation the participant belongs to (such as a school or youth group)
  • Key contact details such as name, email address and phone number so that we can notify participants of any information about the workshop
  • High level statistics on what the students learnt via survey (we do not identify individual students) so that we can evaluate how effective our workshops are for participants and continually improve our content.

This information is used to communicate with the participants and the organisation they come from and to gain insight into the effectiveness of the workshops so that we can improve future workshops.


Feedback

If you have indicated on a contact form or promotion entry form that you would like to be contacted for your feedback and opinion about our content and features, we will keep your name and email address so that we can contact you from time to time. This only applies if you have opted in to providing feedback to us. If you wish to be taken off our feedback mailing list, you can let us know at any time.


Partners and Donors

For our partners and donors, we collect the following information.

  • Name of the individual or contact person where the partner or donor is an organisation
  • Email Address
  • Address
  • Phone Number

This information is used to communicate with our partners and donors and provide updates on the PMG Charitable Trust’s activities. We also display the names of partner organisations on the Stacks website to acknowledge their support.


Suppliers

If you supply goods or services to us, we may collect personal information about your officers (such as directors) or employees. This may include names, addresses (email, physical and postal) and contact numbers. We may also collect personal information related to specific work you are engaged to perform for us such as applicable qualifications, experience and skills.



Collecting information

We only collect personal information where it is necessary for the purposes described in this policy.

Whenever possible we collect personal information directly from you. This might be during a face-to-face meeting, a call or email exchange (for example if you are a supplier, partner or donor) or via our online contact form.

If you are an employee who interacts with us on behalf of your employer, for example if you work for one of our suppliers or for a school who has asked us to provide resources, we may collect your information from your employer or a colleague so that we can contact you.

Use of personal information

We use your personal information to:

  • communicate with you;
  • respond to queries or requests from you;
  • if you are a supplier, to request goods or services from you;
  • other specific purposes if you consent to them from time to time.


Disclosure

We will only disclose your personal information in a way that is consistent with the purpose we collected it for. This may include disclosure to service providers who assist us to operate our services or deliver prizes. We will not otherwise disclose your personal information unless you have authorised us to do so or we are required or permitted by law.

Access and correction

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. If you would like to ask for a copy of your information, or to have it corrected, please contact us at [email protected].

Security and retention

We use role-based restrictions for access to personal information that we store on our systems and in hard copy form. Our offices and information technology are hosted by PMG Property Funds Management Limited (PMG). PMG’s Privacy Policy which can be found here https://www.pmgfunds.co.nz/privacy-policy explains how information is secured, when it will be retained and destroyed.

We keep your personal information only as long as is necessary for the purpose we collected it as set out above or:

  • If you are a supplier, we will keep your personal information for as long as we expect you to provide us with goods or services.
  • If you are a donor, we will keep your personal information until you tell us you no longer wish to have that relationship with us.
  • If you represent an organisation that uses our services, such as a school or a youth group, we will keep your personal information until we are advised that you are no longer a contact person for that organisation.

In some circumstances, for example, if we have as your contact details because we have emailed with you, your personal information will be retained until it is destroyed as part of our planned document destruction process.
